What you need before you start

Four things, verified before you touch anything1: a monday.com Standard plan or higher; the Admin role in both systems (in monday.com that means the account, or each product separately if you run Work Management alongside CRM); board-creation permission at two levels (account: Administration, then Permissions; workspace: the target workspace's Permissions tab); and the latest version of the marketplace app, updatable under Administration, then Apps.

On the Aircall side you need at least one number you intend to link2, and integrations are included from the Essentials plan, so the monday.com connection doesn't require an Aircall tier upgrade. 03 / Install

The V2 install, step by step

  1. 01Confirm the prerequisites. monday.com Standard plan or higher; Admin role in both Aircall and monday.com; board-creation permission at the monday account level and in the target workspace; latest version of the Aircall marketplace app.
  2. 02Install the marketplace app. From the monday.com marketplace, install 'Aircall: Call & SMS in your work OS' and select All Workspaces as the installation scope.
  3. 03Connect from the Aircall Dashboard. In the Aircall Dashboard, open Integrations, then Apps, select monday.com V2, click Install app, and Authorize with your monday admin account.
  4. 04Link at least one Aircall number. Nothing logs without a linked number. Link every number whose activity you want in monday.com; you can adjust assignments later in the Dashboard.

04 / Sync settings

What syncs, and what we switch on

V2 can log calls (with recordings and transcriptions), SMS and WhatsApp including multimedia, tags, and AI insights: call summary, key topics, action items, sentiment, playbook, and custom summary2. Aircall documents the toggles; here is what we actually set for a 5 to 15 seat team, and why:

  • Message logging: ON (default is off). Texts are half the conversation with modern customers; a CRM without them is a partial record.
  • Contact creation: ON. Contact sync: ON. Unknown callers become CRM rows automatically instead of 'Aircall New Contact' placeholders, and edits flow after the next touch (that timing is documented, not a bug).
  • Insight cards: ON. Whoever answers sees the CRM context while the phone is still ringing.
  • AI insights: summary, key topics, and action items to the Updates section. Updates keep insights on the item where your team already works; skip sentiment at this team size, it's noise until you have call volume.
  • Tag automations: start with exactly one. Tag a call as qualified, let the automation move the deal stage and fire the follow-up SMS. Add more once the team trusts the first one.

The board architecture we install

The integration gives you two logging boards. A working phone stack needs three roles wired together, and this is the pattern we install for real clients:

1. The CRM board is the source of truth. One contact/lead board (Public or Shared), name column plus up to three phone columns mapped into the integration. Every insight card, sync, and automation hangs off this board, so resist the urge to link more than one.

2. The auto-created logging boards stay raw. Aircall Calls and Aircall Messages are the event log. Don't restructure them; build views on top (missed calls today, messages awaiting reply) and let automations read from them.

3. Ring groups map to views, not boards. Sales line, support line, and office line each get a filtered view over the logging boards keyed to their numbers, so each team sees its own call queue without fragmenting the data.

What to automate first

The V2 integration supports updating Status and Dropdown columns from Aircall tags, and SMS automation rules that send texts from monday.com triggers2,3. The first automation we install: agent tags the call "qualified", the deal moves stage, and a follow-up text goes out before the agent has hung up their headset. One tag, three effects, zero admin.
